Community Engagement & Event Coordinator

Reports To: Director of Marketing & Development

FLSA Status: Non-Exempt 

Work Schedule: Full-time, with occasional evenings and weekends required for events and community outreach.

Position Summary

The Community Engagement & Event Coordinator supports the Director of Marketing & Development by serving as the primary coordinator for community engagement, fundraising events, corporate sponsorship activities, and donor outreach. This position is responsible for planning and executing fundraising initiatives, cultivating community partnerships, and ensuring the successful coordination of special events that advance the South Texas Food Bank's mission.

By managing the operational and logistical aspects of fundraising and community engagement, this position allows department leadership to focus on strategic development planning, major donor cultivation, stewardship, grant development, marketing initiatives, and organizational growth.

  • Research, identify, and cultivate prospective corporate sponsors, community partners, civic organizations, and fundraising opportunities.

  • Conduct outreach through phone calls, emails, in-person visits, networking events, and community presentations.

  • Deliver sponsorship packets and promotional materials to prospective partners.

  • Assist with sponsorship renewals, table sales, raffle ticket sales, and other fundraising initiatives.

  • Represent the South Texas Food Bank at community events, Chamber of Commerce functions, networking opportunities, and outreach activities.

  • Develop and maintain positive relationships with businesses, community leaders, volunteers, and supporters throughout the service area.

 

Fundraising Event Coordination

  • Coordinate logistics for fundraising events, campaigns, and community engagement activities.

  • Develop detailed event timelines and project plans to ensure successful execution.

  • Obtain vendor quotes and coordinate contracts for catering, rentals, entertainment, décor, audiovisual services, and other event needs.

  • Coordinate volunteers, event committees, vendors, and event logistics before, during, and after each event.

  • Manage event registration, sponsorship fulfillment, guest lists, check-in procedures, and on-site event operations.

  • Ensure sponsor recognition and event deliverables are fulfilled in accordance with sponsorship agreements.

  • Assist with post-event evaluations and recommendations for continuous improvement.

Donor Relations & Development Support

  • Assist with donor stewardship activities and relationship-building initiatives.

  • Prepare donor acknowledgments, thank-you correspondence, sponsorship recognition, and follow-up communications.

  • Maintain accurate donor, sponsor, and event records within the organization's CRM.

  • Track sponsorship commitments, event revenue, donor participation, and fundraising outcomes.

  • Assist with donor cultivation events and stewardship activities as assigned.

Administrative Coordination & Collaboration

  • Maintain inventory of promotional items, marketing materials, and event supplies.

  • Coordinate printing and production of promotional materials for events and campaigns.

  • Assist with departmental purchasing, budgeting, and expense tracking.

  • Prepare reports related to fundraising events, sponsorships, community outreach, and departmental activities.

  • Provide administrative support to the Marketing & Development Department as needed.

Preferred Qualifications

  • Bachelor's degree in Hospitality, Communications, Public Relations, Event Management, Marketing, Business Administration, or a related field; or a minimum of three (3) years of equivalent professional experience.

  • Bilingual (English/Spanish) preferred.

  • Experience in nonprofit fundraising, event planning, sales, hospitality, customer service, sales or community engagement preferred.

  • Strong organizational and project management skills with exceptional attention to detail.

  • Excellent written, verbal, and interpersonal communication skills.

  • Demonstrated ability to build relationships and confidently interact with business leaders, community partners, donors, and volunteers.

  • Creative, resourceful, and passionate about community engagement and nonprofit fundraising.

  • Self-starter with the ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.

  • Proficient in Microsoft Office and comfortable learning donor management (CRM) software and event management platforms.

  • Ability to work occasional evenings and weekends as required for fundraising events and community activities.

Success Measures

Success in this position will be measured by the employee's ability to:

  • Increase corporate sponsorship participation and sponsorship revenue.

  • Expand community outreach and partnership opportunities throughout the South Texas Food Bank's eight-county service area.

  • Successfully coordinate fundraising events on time and within budget.

  • Increase volunteer engagement and community participation in fundraising activities.

  • Ensure timely and accurate sponsorship fulfillment and donor stewardship.

  • Maintain accurate fundraising, sponsorship, and outreach records.

  • Improve the operational efficiency of the Marketing & Development Department.

  • Increase departmental capacity by allowing leadership to focus on strategic fundraising initiatives, grant development, major donor cultivation, and long-term organizational growth.
